Email Enterprise Vault Services

ITE’s Email Enterprise Vault service is designed to efficiently manage the archival of email files. Using the Enterprise Vault product from Symantec provides a means to index and archive all email communications sent and received during a policy-determined timeframe. In the case of ITE’s email retention policy, a 180-day archival period is implemented. However, this can be adjusted to meet various customer requirements.

Key Features and Benefits

  • In addition to performing archival activities, the Enterprise Vault system enhances the ability to retrieve email records if they are requested under the State’s open records laws. An additional functional component, the Discovery Accelerator, facilitates search requests made by public and legal entities. This allows for the retrieval of records based on specific search criteria and the ability for legal council or agency representatives to review search results before releasing records to the requestor. This provides a filter to ensure that messages that do not meet the search criteria or that might contain confidential information are not released.

  • The effectiveness of Symantec Enterprise Vault has been demonstrated by DAS when results for an open records request were generated in less than 30 minutes. Without this search and retrieval capability, the request would have taken more than 30 days to complete, based on past experiences with similar requests.

  • Another feature of the Enterprise Vault is the enhancement of the ability to manage an ever-increasing need for space on email servers. The product enables us to archive messages that need to be kept for long periods of time by storing them in an environment separate from, yet connected to, our production email servers. This improves the use of primary space and enhances performance on the email systems while still allowing employees to access the archived files through MS-Outlook as they would with any other email message stored on the production server.

  • E-mails saved in Personal Folder files (commonly referred to as a PST file) are also migrated to the Enterprise vault. The Personal Folder file is migrated into a folder in the individual’s Outlook mailbox that will be called Personal Archive. The contents of the PST files will continue to be available to the user whenever they log into Outlook. This will includes access from Outlook Web Access users.

  • The ITE Email Enterprise Vault service is available to those customers of ITE’s email service. It is also available to agencies that host their own email service if they use MS-Exchange in the Central Exchange Organization. In addition, the data storage vault can be provided by ITE or the customer agency. A number of technical compatibilities and requirements will determine the ability for the Enterprise Vault to serve your needs.
